Job Summary
Acts as a point of contact between the Human Resources Department and employees for basic enquiries related to all HR associated matters and according to established policies, procedures, and guidelines. Supports the HR Team in delivering high quality customer service while ensuring smooth and effective communication and prompt response for all HR related queries. Works autonomously and assists in human resources functions such as administration, benefits, training and development, onboarding, and staff engagement. Supports the delivery of HR services to operational programs & services and events, including the coordination of logistics and resources.
Reports To: Human Resources Lead
Key Duties and Responsibilities:
Organizational Support:
- Serves as a point-of contact for HR support-related matters based on established processes and guidelines
- Oversees the HR Support ticketing system, ensuring HR enquiries are resolved or distributed to the correct HR team member for resolution
- Provides administrative support in implementing human resources programs and services with established processes and guidelines
- Supports the management of HR pages in the internal Portal and external website
Onboarding:
- Reviews and ensures compliance of employment documentation
- Works with the recruitment team to make sure that all tasks from the HRIS Applicant Tracking System (ATS) are completed prior to onboarding
- Supports and backs up the Human Resources Representative in delivering new staff onboarding
- Reviews and ensures that the onboarding process is currently updated, including forms, materials and resources
Training & Development:
- Supports and/or delivers training to promote organizational awareness on internal policies and procedures and related employment legislation
- Supports and or/delivers training on current or new policies and procedures in areas such as benefits and HR Administration
Staff Engagement:
- Assists the planning and organization of events to promote staff morale and health & wellness programs
- Assists internal committees related to areas such as staff engagement, internal Portal, and performance and quality improvement
- Coordinates the HR Newsletter
Administration:
- Maintains and updates confidential employee records and filling systems
- Administers employment letters, including job offers and employment verification
- Ensures data accuracy in HRIS by performing and/or monitoring entries and/or updates relating to new employees and change management
- Assesses HRIS procedures and makes recommendations for procedural improvements on effectiveness and efficiency
- Administers vacation and absence records
- Coordinates with the Accounting Department employee benefits enrollment
- Redirects employee inquiries and issues relating to benefits
- Creates and submits PO’s for Department purchases and vendor contract management
- Performs other related duties as assigned by the Senior HR Manager
Education, Training and Experience:
- Post-Secondary education specializing in Human Resource Management or suitable combination of education, training and experience
- Minimum of three (3) years of experience in Human Resources, or a combination of education and experience
- Experience with HR databases and HRIS systems
- CPHR designation an asset or working towards the designation
- Previous experience working with non-profit organizations an asset

- Analytical skills to conduct research, carry out analysis, and prepare basic statistics
- Displays tact, diplomacy, good judgement and use discretion with highly confidential and sensitive employee information
- Computer proficiency in MS Office applications and HRIS/HRMS systems

- Ability to work evenings and weekends as required
- Ability to travel to S.U.C.C.E.S.S. locations as required
