Summary:

Providence Research is now accepting applications for a net new, permanent full-time Director, Administration.


Reporting to the Director of Operations, Providence Research (PR), the Director, Administration provides oversight and leadership for PR’s administrative team in alignment with Providence Health Care (PHC). Working with the PR Director of Operations and the relevant corporate departments at PHC and UBC/SFU, as applicable, the Director, Administration oversees finance, human resources, communications, ethics and contract matters at PR. Working in close collaboration with the Director of Operations, the Director, Administration is central to the management of PR’s day-to-day administrative needs to ensure the teams function effectively in support of PR’s overarching goals. The Director, Administration liaises with various faculty, staff and students within PR and various research groups, as well as with other stakeholders.

Working in close collaboration with PR’s executive leadership, the Director, Administration has overarching responsibility to ensure the delivery of high quality, timely, effective, and efficient institutional administration in support of research, and collaborative services within a research-intensive environment and in accordance with internationally recognized levels of excellence. The Director, Administration has direct responsibility for coordinating PR-wide administrative goals and initiatives to enable scientific excellence, continuous planning, quality improvement, and risk management.

What You Bring:

  • A level of education, training, and experience equivalent to a Bachelor of Science degree in a relevant field and a Master’s degree in Health Administration, Business Administration or Project Management. Ten (10) years of experience in research management and administration that includes at least two (2) years’ experience in leadership of management and administration staff within a research centre or department.

Skills and Abilities

  • Knowledge of financial, human resources and administrative methodologies to recommend organizational standards and practices and to build capacity.
  • Knowledge of legal and requirements related administrative and business operations.
  • Strong interpersonal skills to facilitate teamwork, inter-department and inter-agency co- ordination and inter-disciplinary communication.
  • Strategic and project management, planning and execution skills. Ability to use excellent judgment in the evaluation of new initiatives and programs.
  • Demonstrated creativity and originality in problem identification and resolution and ability to communicate with and facilitate dialogue between diverse groups locally, provincially, nationally, and internationally.
  • Exceptional organizational and multitasking skill, with a keen attention to detail.
  • Ability to thrive in a fast paced-and dynamic environment, managing competing priorities and meeting deadlines.
  • Proven experience in all aspect of budget development, management, and reporting. Demonstrated experience in scope, time, cost, and quality management.
  • Demonstrated experience in effective leadership skills and ability to provide motivational leadership to direct and indirect reports at all levels.
  • Relationship management to work collegially with teams, staff, executives, collaborators, partners and funders, and proven experience in identifying opportunities to build new or expand existing relationships.
  • Physical ability to perform the duties of the position.

Your Day To Day

  • Provides overall leadership and direction for the administrative team of PR. In this capacity, the Director, Administration is also responsible for all administrative activities of PR, including plans to centralize services.
  • Works collaboratively with the Directors and VP Research by participating in and implementing departmental strategic plans, goals, and objectives.
  • Oversees and coordinates the day-to-day activities of the PR administrative staff by providing guidance, advice, and training to, ensuring clarity of roles and responsibilities, adherence to standards of quality, and effective and timely service delivery. Motivates staff and promotes team building, collaborative communication, and conflict resolution to ensure effective and efficient service delivery.
  • Oversees the recruitment of administrative staff members and ensures that staff members are retained and supported to achieve a level of performance that meets the highest standard within their area of function.
  • Given the partners that support PR, works closely with PHC, UBC and SFU finance and human resources to ensure compliance with host institution policies and granting agency rules.
  • Develops and implements administrative procedures and policies to enhance the organizational efficiency and productivity. Provides effective and motivational leadership and high-level supervision to various administrative staff within PR.
  • Manages, monitors, and supports the performance of all finance, human resource, ethics, communications and grant and contracts staff. This includes PR’s quarterly conversations. Consults with managers within portfolio and Human Resources department on performance matters and initiates discipline, as required up to and including termination.
  • Directs all administrative functions within PR, in collaboration and partnership with appropriate PHC Corporate Directors, including but not limited to financial management and control of operating and project expenditures; human resources management; and communications.
  • Working with the PR’s Director and the relevant corporate departments at PHC (and UBC/SFU where relevant), the Director, Administration provides direction to PR staff responsible for administrative services, provides budget development and oversight, and implements strategic administrative goals.
  • Responsible for defining an effective workforce plan consistent with the PR’s strategic direction and within the context of demands for the administrative team and environmental and resource constraints.
  • Has overall responsibility for resolution of problems for the administrative areas and plans for oversight of normal and contingency administrative team plans in the event of labour disruptions or emergencies.
  • Develops and maintains effective working relationships with research groups and team members through continual liaison; fosters and builds successful collaborations to ensure integration of research, clinical and educational activities; facilitates interdisciplinary cooperation, participates on committees, and provides relevant communication on pertinent matters to other leaders within PR.
  • Provides leadership in collaboratively establishing priorities for allocation of resources, including identifying resources for programs or projects.
  • Performs other related duties as required.
