Based in Vancouver, the Lease Administrator reports to the Sr. National Manager, Lease Administration and Property Management Support Finance. The Lease Administrator provides the Real Estate Services team with lease and tenant data to help them manage their properties, comply with tenant lease obligations, and produce informative reports. This position will help ensure efficiency, accuracy, and responsiveness of lease information through the continuous improvement of processes and procedures.
As a Lease Administrator You Will:
- Maintain the Yardi Tenant & Building related data records for a specific portfolio of buildings to ensure consistency, validity, and accuracy of the Tenant & Building data elements.
- Ensure the accurate and timely processing of Lease Administration transactions, in various systems, are completed according to organizational rules and meet internal and external client expectations, such as:
- Processing tenant related documents, including new leases, renewals, terminations, move-outs, etc.
- Processing tenant bills, including monthly recurring billing, annual increases, rent adjustments and ad hoc charges, and security deposit processes.
- Assist in creating and updating tenant lease data for acquisitions and dispositions of properties.
- Ensure the Lease Data validation exercises, which are designed to ensure completeness, consistency, and accuracy, are completed in an organized and timely manner, including the Tenant Lease Master Data, tenant monthly charges, lease clauses and options, sublease, and retail parameters, NAICS codes, set up and draw downs on security deposits.
- Provide assistance and support of Tenant/Lease reporting initiatives by internal and external clients.
- Support various departments throughout the organization ultimately ensuring that requirements are met or exceeded.
- Communicate with the finance, operations, and leasing team in a prompt and professional manner.
Your Background:
- General accounting knowledge and an understanding of commercial real estate is considered an asset. Related experience with legal agreements, leases, accounts receivable and billing cycles processes, and customer service.
- Post secondary education in a related field is preferred.
- Intermediate to advanced skills in Microsoft Office (Excel and Word) and SharePoint. Experience with specialized computer software is considered an asset, including Yardi.
- Excellent oral and written communication skills
- Ability to identify and analyze problems.
- Ability to prioritize workload and handle competing priorities and deadlines.
- Work well individually and as part of a team
The expected annualized base salary range for this role is $60,000 to $70,000
The actual salary offered will take into consideration a wide array of factors including, but not limited to, the individual’s skill, experience, education and training, the market compensation of the role, and the consideration to internal equity.
