The Opportunity
AES Engineering is looking for a qualified Project Administrator to join us in our Vancouver office.
As a Project Administrator, you’re an integral part of the project team. Your resourcefulness and problem-solving skills allow you to support a dedicated team of Engineers and Designers in delivering projects that exceed our clients’ expectations.
You understand delivering high quality service to both internal and external clients requires relationship building, and you’re able to adapt to the different needs of the team you support and the clients you interact with. You work well in a fast-paced environment where priorities frequently change, and you have no problem changing tasks quickly if necessary.
Position Overview
Your responsibilities will include setting up and closing projects, formatting documents and preparing proposals. As an integral part of our project teams, there will be abundant opportunities to work with multiple departments within the organization. You will have the opportunity to complete projects independently with support from staff.
In this Role, You Will
- Work under the direction of Project Managers to prepare and format construction document packages
- Coordinate with PMs and follow internal process on project setup/closeout and proposal completion
- Proofread, format and compile various documents
- Assemble and format specifications
- Coordinate between Finance and PMs in completing billing tasks
- Assist with project delivery team on project and resource planning
- Liaise with Marketing, Designers, Engineers and other Project Administrators
- Coordinate meetings
- Other duties assigned as appropriate
Qualifications
- Bachelors Degree in Business Administration or equivalent
- Experience with preparing responses to RFPs
- Experience in Administration support
- Proficiency in proofreading, formatting and editing documents
- Familiarity with Microsoft Suites and PDF Exchange Editor
- Ability to quickly absorb and use company-specific techniques, standards and procedures
- Strong communication skills to coordinate with colleagues and clients
- Ability to work within a team environment
- Strong work ethic and self-discipline
- Organized and able to prioritize various tasks and have a flexible approach to assignments
- Willingness to meet quick deadlines and handle multiple projects in a fast-paced environment
Additional Desirable Qualifications
- Previous Project Administration experience
- Previous Proposal Coordinator experience
- Previous experience in the architecture, engineering, construction (A/E/C) industry
