Position: Administrative Assistant (Temporary – up to 14 months leave coverage)
Employer: The John Howard Society of North Island (575 10th St, Courtenay, BC V9N 1P9)
Work sites: Campbell River and Courtenay, BC – on-site
Program: Administration
Benchmark: Administrative Assistant 3 (Grid 10 JJEP)
Reports to: Director of Finance or Worksite Program Manager
Union: Health Sciences Association (membership required)
Wage: JJEP wage grid – begins at Step 1, increases to Steps 2–4 based on hours worked

Requirements:

- Grade 12 + completion of up to 1 year of business/office administration training
- 3 years recent related experience (or equivalent combination of education, training, and experience)
- Two criminal record checks: CRRP (Ministry) + RCMP national search (CPIC, PIP)
- Authorization to work in Canada
- Union membership with Health Sciences Association

Assets: Multilingual skills, multicultural competence

Key duties:

- Track office/program expenditures; maintain petty cash, purchase orders, cheque requisitions
- Collect, research, organize, and summarize data; produce reports and analysis
- Maintain client/program information using spreadsheet/database software; update confidential files
- Produce ad hoc reports as required
- Respond to outside inquiries about services and community resources
- Communicate with other agencies/ministries regarding client enrolment and attendance
- Orient, monitor, and provide work direction to volunteers/practicum students

- Provide word processing, data entry, typing for confidential materials; draft routine correspondence
- Assist in coordinating projects
- Arrange meetings, schedule appointments, make travel arrangements; book rooms; prepare agendas and take minutes
- Maintain welcoming reception area
- Screen and prioritize incoming correspondence
- Troubleshoot office technology (phones, fax, printers, networks, email, internet, MS Office) in consultation with IT
