Description
Job Posting: Executive Assistant, Permanent Full-Time
Primary Purpose
Responsible for ensuring administrative support for the President, Vice-President, other Executive, and Board Members; responsible for accounts payable and inputting data into accounting software; acts as a contact for the LFA; and the lead in the running of the LFA office.
DUTIES AND RESPONSIBILITIES
- Provides support for and prepares correspondence, reports, and financial reports.
- Organizes and distributes agendas, circulates materials, and records minutes of Board Meetings, General Membership Meetings, Joint Labour Management Committee meetings, and other membership meetings.
- Organizes, arranges and oversees LFA-sponsored social events.
- Manages and retrieves data for the maintenance of the Faculty Database and distribution lists.
- Inputs journal entries into accounting software.
- Performs online banking operations as needed.
- Produce Quarterly Budget Reports
- Manage communication and information on the LFA website.
- Records and transcribes minutes for LFA/Employer Bargaining.
- Additional duties as outlined in the Collective Agreement.
This Position Requires:
- Strong computer skills including advanced knowledge of MS Office; familiarity with Adobe Creative Suite, and/or databases would be an asset.
- Demonstrated experience in event organizing.
- Ability to use Simply Accounting or a similar spreadsheet program.
- Ability to input journal entries using computer accounting software programs.
- Ability to prepare monthly bank reconciliations.
- Above average ability to establish and maintain effective working relationships with the LFA (President, Board Members, and faculty).
- Excellent written and verbal communication skills.
- Excellent organizational skills.
- Ability to work under pressure and tight timelines.
MINIMUM QUALIFICATIONS
- Post-secondary secretarial training, plus 3-5 years of related experience as administrative, or equivalent position, preferably in an educational or trade union setting; preferably a post-secondary degree or diploma, or an equivalent combination of training, education, and experience
- Proficiency in the operation of computers and related software used by the LFA office. Proficiency in Microsoft Office, Word, Excel, PowerPoint, Outlook and Adobe
- Experience in a senior administrative support capacity, including experience with minute-taking and the mechanics of Board/Committee functioning.
- Experience in Simply Accounting or a similar spreadsheet program such as QuickBooks.
Salary: This position is covered fully by the terms and conditions of the Collective Agreement between LFA and CUPE 1004. Under the present terms, a successful applicant will receive a starting annual salary of $60,818.40 increasing to $62,643.00 in April 2024.
