Weir-Jones Engineering is a privately-owned engineering company with an office located in Vancouver, BC. Weir-Jones has been providing custom data collection, analytical services, and project management solutions to clients in the Resource, Civil Construction, Marine, and Defense industries since 1971.
Weir-Jones is looking for an Office Administrator/Receptionist to join our team! The ideal candidate will report to the CEO as their main assistant, as well as perform a variety of receptionist and office administrative duties to support the engineering team on various tasks and projects which may involve sensitive and confidential material. This role requires attention to detail, strong time management and organizational skills, and the ability to cope with deadlines and multiple demands.
Daily Office Tasks & Responsibilities:
- Answer, screen and direct incoming phone calls to the correct party.
- Greeting/welcoming visitors and guiding them to conference room(s).
- Maintain tidiness of conference rooms before and after meetings.
- Manage office supplies, includes monitoring inventory and ordering supplies as needed.
- Provide travel arrangements for staff.
- Prepare and send purchase orders as requested by the team.
- Shipping and preparation of customs paperwork for international shipments.
- Receiving, sorting and distributing packages and mail.
- Provide administrative support to engineers (reports, letters, proposals, etc.).
- Filing, organizing and maintaining job folders (both hard copy folders/binders and electronic folders).
Assistant to the CEO
- Provide overall administrative support to the CEO (booking, organizing, and scheduling appointments, meetings, travel and updating their calendar).
- Assist with writing and editing emails, drafting memos, letters, proposals, reports, some of which may involve sensitive information and confidentiality.
- Screen incoming phone calls and inquiries.
- Check and maintain the CEO’s emails ensuring important correspondence does not get overlooked.
- Prioritize conflicting needs; handle matters expeditiously, proactively, and follow through on tasks to completion, often with deadline pressures.
Required Qualifications, Skills & Abilities:
- Exceptional interpersonal skills, a good attitude, friendly and confident with a willingness to learn.
- High school diploma or equivalency.
- Efficient in use of Microsoft Office Programs (Word, Excel, PowerPoint, Outlook, Teams).
- Excellent communication skills, especially in written and verbal correspondence with great attention to detail.
- Strong time management and organizational skills, ability to handle multiple tasks and adjust priorities as needed. Work independently with minimal supervision.
- Strong ability and comfort level with the use of standard office equipment such as computers, telephones, photocopier, scanner, etc. Knowledge of both PC’s and Apple products an asset.
- Excellent knowledge of shipping both domestic and internationally. Specifically dealing with customs documents and required paperwork.
- Comfortable working in a dog-friendly office.
- Ability to lift up-to 20lbs boxes up and down stairs.
Hours:
- Monday through Friday, 8:30am to 5:00pm.
Experience:
- customer service: 2 years (Preferred)
- receptionist: 2 years (Preferred)
Education:
- High school diploma or equivalency
Location:
- Vancouver, BC - Candidate must be eligible to work in Canada
Job Types: Full-time, Permanent
Pay: $40,000.00-$50,000.00 per year
