Grow Speech and Language Therapy is seeking a full-time Office Coordinator who is passionate about managing the day-to-day operations at our expanding pediatric speech therapy clinic. We strive to create a welcoming and supportive atmosphere for our clients, families and our staff.
Position Overview:
As our Office Coordinator, you will play a crucial role in ensuring the efficiency of our day-to-day clinic operations. You will coordinate our clinic schedule and respond to inquiries from clients, referral sources, community partners and staff. You will create social media content and keep our website up-to-date. You will ensure that the clinic space is organized and will support our clients and staff throughout the day through building positive relationships!

Key Responsibilities:
- Respond to inquiries from clients, referral sources, community partners and staff (phone, email, and in-person)
- Onboard new clients and obtain all consent forms and documents prior to treatment
- Schedule treatment for clients to maximize efficiency in calendar & update waiting list
- Prepare funding application letters
- Create social media posts (Instagram) and update content on website
- Coordinate staff events (e.g. lunch & learns, social events)
- Develop workflow processes and efficiencies
- Maintain and order office materials and supplies
- Daily clinic cleaning and organization
Qualifications:
- Previous experience in administrative or clerical roles & customer service (2-3 year or equivalent)
- Proficiency in Microsoft Office Suite
- Experience with clinic management and scheduling software (e.g. Jane) is an asset
- Experience with social media marketing and creating posts for social media accounts
- Exceptional communication skills - written and verbal in English
- Excellent interpersonal skills
- Strong attention to detail and accuracy
- Excellent organizational and time management skills
- Ability to work effectively independently
