Position Overview

We’re looking for a Remote Administrative Assistant to support our Co-Founders and leadership team by managing key administrative tasks, streamlining internal operations, and ensuring smooth day-to-day execution in a remote, tech-enabled environment. This role is ideal for someone highly organized, tech-savvy, and proactive in managing multiple priorities while maintaining confidentiality and professionalism.

What You’ll Do

  • Project Coordination: Help manage and track progress on key projects, ensuring deadlines are met and deliverables are on track.
  • Executive & Operational Support: Provide direct administrative support to the Co-Founders, including scheduling meetings, managing calendars, handling correspondence, and tracking action items.
  • Tech-Enabled Workflow Management: Leverage tools such as Notion, Slack, and automation platforms (Zapier, Make) to streamline workflows and optimize productivity.
  • Document & Data Management: Maintain organized digital records, manage key operational documents, and ensure accessibility across remote teams.
  • Process Improvement & Automation: Identify inefficiencies in workflows and implement technology-driven solutions to improve operational efficiency.
  • Cross-Functional Collaboration: Act as a liaison between leadership, internal teams, and external stakeholders to facilitate seamless communication and execution.
  • General Administrative Tasks: Handle ad-hoc administrative responsibilities, including managing vendor relationships and optimizing remote office operations.

What You’ll Bring

Required Skills & Experience

  • Experience: 2+ years in an administrative, executive assistant, or operations support role, ideally in a remote, tech-forward, or startup environment.
  • Tech-Savvy Mindset: Proficiency with remote collaboration tools such as Slack, Notion, and workflow automation tools like Zapier or Make.
  • Exceptional Organizational Skills: Ability to manage multiple priorities, maintain structured documentation, and optimize processes.
  • Strong Communication & Coordination: Excellent written and verbal communication skills to interact effectively with executives, clients, and teams.
  • Problem-Solving & Adaptability: A proactive approach to identifying challenges and implementing practical solutions in a remote setting.
  • High Attention to Detail: Ability to ensure accuracy and consistency in documents, reports, and operational tasks.

Bonus Skills & Experience

  • Understanding of financial advisory or insurance industry workflows to better relate to client needs.
  • Previous experience in a tech startup or SaaS environment.
  • Background in remote team coordination
