Description

Nch’ḵaỷ Development Corporation (NDC) was established in 2018 as the economic development arm of the Squamish Nation - Skwxwú7mesh Úxwumixw. Nch’ḵaỷ’s mandate is to develop, manage, and own the active businesses of the Nation and was created to allow for the separation of business and politics within the Squamish Nation.

JOINING OUR TEAM

The Executive Administrator, Real Estate and Development is a Permanent Full-Time position based at Nch’ḵaỷ’s Head Office. Our Head Office is in West Vancouver, BC on the traditional, ancestral, and unceded territory of the Sḵw̱xwú7mesh (Squamish) Nation and its people. Scope of the Position

The Executive Administrator provides essential administrative support to the Executive Vice President (EVP) and Vice President (VP) of Real Estate. Reporting directly to the EVP, the position demands sound judgment, strong communication, and organizational skills. With a background in legal studies and extensive paralegal experience, the Executive Administrator serves as the key administrative support for the Real Estate and Development Department, managing all real estate-related administration, and interacting with counsel, boards, government agencies, and other external contacts. The role encompasses supporting executive outreach and special projects, requiring a dynamic individual with exceptional administrative and organizational skills. Overall, this role presents an opportunity to contribute significantly to the success of the Real Estate and Development Department and senior leadership teams.

A. Duties, Responsibilities, Authority, and Accountabilities

I. Executive Support

  • Provide high-level administrative support to the EVP and VP of Real Estate.
  • Act as the primary point of contact between the executives and internal/external contacts.

II. Legal Studies and Paralegal Experience

  • Leverage legal knowledge to support drafting briefs, meeting minutes, legal documents, contract management, and conducting research.

III. Administrative Oversight

  • Serve as the key administrative support for the Real Estate Department.
  • Accountable for managing the ongoing administration of all real estate-related matters.

IV. External Interaction

  • Act as the department’s primary point of contact, addressing inquiries, and directing external contacts to the appropriate Team Member.
  • Interact with legal counsel for other parties, boards, and government agencies as requested.
  • Facilitate effective communication and coordination between internal and external parties.

V. Documentation and Reporting

  • Responsible for drafting and preparing various documents, including briefs, meeting minutes, and legal documents.
  • Manage contract-related documentation and ensure accuracy and compliance.
  • Maintain and organize real estate documents, contracts, leases, and agreements.

VI. Calendar Management and Communication

  • Efficiently manage calendars for the EVP and VP, scheduling meetings and appointments.
  • Act as a liaison between executives and internal/external contacts, ensuring effective communication.

VII. Financial Administration

  • Handle expense reporting, invoice processing, and other financial administrative tasks.
  • Liaise with management and internal/external contacts for financial matters.

B. Other

  • Perform other duties as required.

C. Reporting Responsibilities and Authorities from Supervisor

  • Reports to the Executive Vice President, Real Estate.

D. Knowledge, Skills, and Experience

  • Bachelor’s degree in Business, Real Estate, or a related field preferred,
  • Extensive paralegal experience,
  • Three to five years’ experience as an Executive Assistant, preferably in a real estate or legal setting,
  • Excellent communication and interpersonal skills, with the ability to build strong relationships at all levels of the organization.
  • Demonstrated project management skills, with the ability to lead and implement initiatives successfully.
  • Good organizational and time-management skills,
  • High levels of integrity and ability to handle confidential information,
  • Ability to work independently within established guidelines and procedures and as a member of a team,
  • Willingness to be flexible and adaptable to changing priorities,
  • Strong multi-tasking and organization skills,
  • Ability to set and manage priorities to meet deadlines,
  • Strong people skills and the ability to interact with colleagues and senior management to maintain quality,
  • Proficient in MS Office software (PowerPoint, Excel, Word and Outlook),
  • Experience working with First Nations is an asset.

E. Special Requirements

  • Willing to work additional hours and off-site as required.

F. Working Conditions

  • Occasional travel to other locations.

Job Type: Full-time

Salary: $90,000.00-$100,000.00 per year
