Description

Paul Sangha Creative is seeking a full-time Office Coordinator who is passionate about managing the day-to-day operations of a landscape architecture office. This role is crucial in supporting our team’s dynamic, fast-paced and collaborative culture. The Office Coordinator is a passionate, positive and supportive individual dedicated to creating a positive and organized work environment.

Paul Sangha Creative is a Vancouver-based landscape architectural practice specializing in the creation of private and public landscapes. The firm’s reputation has been built on the creation of spaces that are rooted in simplicity, elegance, and timelessness, with keen attention to detail and delivery of the highest quality of service. The studio’s projects span the globe, from residential gardens to boutique public spaces, and have received numerous awards and recognition from international design authorities.

Responsibilities:

  • This role is a full-time, on-site position located in Olympic Village, with working hours from 8:30 am to 5:30 pm
  • Administer daily office operations, including managing the multi-line phone system, handling office correspondence in a timely manner, creating meeting minutes, preparing client fee proposals, and filing documents
  • Provide excellent customer service to clients, service providers, and colleagues through various communication channels – including in-person, telephone calls, and emails
  • Build on the close-knit team environment through support, goal-setting, and innovation
  • Host and organize weekly office review meetings
  • Maintain and update all information corresponding to archived, active, and prospective projects
  • Work closely with the marketing and accounting teams
  • Assist with executive-level tasks, including scheduling, travel arrangements, and project management support
  • Coordinate firm Principal’s on-site and in-office meetings, as well as setting up Zoom calls for the design team
  • Create detailed travel itineraries and manage travel arrangements for team members
  • Coordinate office events and team-building activities
  • Manage office supplies and ensure the workspace remains organized and efficient

Requirements:

  • Post-secondary education in a relevant field
  • Previous working experience or related experience is recommended
  • Proficient organizational, time management, and multitasking skills
  • Positive attitude, self-motivated, reliable, proactive and punctual
  • Detail-oriented, creative, and hard-working
  • Excellent verbal and written communication skills
  • Initiative in undertaking office organization projects
  • Strong decision making skills and ability to work in a fast-paced environment
  • Technically savvy – proficiency in Microsoft Word and Excel. Previous experience with Adobe Creative Suite is an asset
  • Focused and passionate about the organization’s goals, culture, and success

The base salary for the Office Coordinator position is in the range of $55,000 to $60,000 per year, commensurate with experience, skills, and qualifications.
