Description

We are seeking an individual who is passionate about health and wellness equity for Indigenous peoples and committed to culturally safe, trauma-informed care to join Kilala Lelum Health and Wellness Cooperative in the role of HR Coordinator. This person must be highly organized, an effective and thoughtful communicator, and possess a genuine desire to support our dynamic, multidisciplinary, growing staff team in their work as health and wellness providers. The ability to work autonomously, balance multiple priorities and tasks, and remain calm and considerate is vital in our fast-paced workplace. This position requires excellent administrative and interpersonal skills and an understanding of the complexities of working in a nonprofit health centre in Vancouver’s Downtown Eastside (DTES).

Job Summary:

The HR Coordinator will work very closely with, and report to, the HR and Administrative Lead.

The HR Coordinator will support the development and implementation of our human resources policies, procedures, and practices. Contributions will be made in the following areas: recruitment, hiring, and retention; onboarding and orientation; staff education and development; payroll, time and attendance, and extended benefits; and other areas of documentation and records management. The HR Coordinator will work closely with the Admin team (which includes the HR & Admin Lead, Admin Coordinator, Accountant/Controller, Development and Communications Specialist, Facilities Coordinator, and Executive Director) to support the administrative and personnel needs of all of Kilala Lelum’s programs and teams. We are seeking an individual with a strong interest in grounding our human resources in an Indigenous framework that incorporates principles of anti-racism, decolonization, diversity, equity and inclusion while upholding relevant required legal and ethical frameworks.

Responsibilities:

  • Coordinate and support recruitment and hiring processes, including collaborating with team Leads, to: identify needs, create job postings, and review applicants; create hiring panels and schedule interviews; perform reference checks; and complete hiring and onboarding documentation.
  • Help develop and contribute to implementing the onboarding and training process, including: utilizing an onboarding checklist, developing onboarding material, and coordinating logistics for orientation and training shifts.
  • Alongside the HR & Admin Lead, understand the payroll process and be able to run payroll independently (includes an understanding of timecards and time off tracking).
  • Help develop, communicate, and implement HR Policies and Procedures and related documents; support Occupational Health & Safety initiatives across the organization; be familiar with all organizational policies and procedures as they relate to job performance.
  • Maintain staff records and files, ensuring they are accurate and up to date; support team Leads to implement and utilize performance management systems for staff reviews/check-ins.
  • Help foster communication and connection between staff and across programs, including supporting in the planning of team events.
  • With the support of the Admin team and Leads/Managers, address conflicts and issues in a timely manner.
  • Ensure familiarity with all relevant legal, regulatory, and ethical requirements related to human resources, confidentiality, and the ability to discern when to consult supervisors/supports.
  • Support Kilala Lelum Committee work (including Finance, Education, Occupational Health and Safety, Research, etc.) through scheduling, minute taking, etc.
  • Support internal and external communications, fund development and administration, and support funding applications.

Qualifications & Skills:

  • Preference for a Bachelor’s degree (or equivalent) in Human Resources, Business Administration, Organizational Behaviour, or other relevant field; a diploma or certificate in HR or related field and/or a combination of relevant work experience will be considered.
  • Minimum of two years of relevant experience in HR, ideally in a community-based organization or nonprofit, with preference for experience working in the DTES; candidates with experience working with Indigenous organizations or in Indigenous communities will also be considered.
  • Excellent interpersonal skills with the ability to form collaborative and respectful relationships with staff, other professionals, and community partners. Conflict mediation skills are an asset.
  • Experience with ADP Workforce Now (payroll software) ideal.
  • Proficiency with Microsoft Office and Google Workspace is beneficial. Additional skills or experience with virtual conferencing technology and OSCAR EMR (Electronic Medical Records) an asset.
  • Excellent organizational skills and time management.
  • Effective verbal and written communication skills.
  • Accuracy and attention to detail.
  • Ability to work independently and meet deadlines.
  • Experience and knowledge of Indigenous peoples and Indigenous culture would be extremely beneficial. Completion of a cultural competency course or willingness to participate required.

Supervision Provided:

This position is supervised by the HR & Admin Lead and will receive support from the Executive Director and rest of the administrative team.

Additional Information:

  • Anticipated start date May 2024.
  • Hourly salary between $33-38/hour.
  • Hours of work will be agreed upon to meet requirements of 0.8 FTE (32 hours/week); most hours will be completed onsite.
