Responsibilities
Attendance Management Coordination
Attendance Management Program
- Monitors the attendance of employees for patterns and other concerns by generating scheduled reports (ie Attendance Management Reports / Absenteeism Pattern Analysis Reports). Generates and reviews sick leave reports with management to identify employees to participate in the Attendance Program according to established guidelines. Tracks the progress of program participants, and ensures timely follow-up with program stakeholders through accurate maintenance of attendance promotion records.
- Follows up with management and employees about attendance related matters. Issues applicable documentation, including attendance letters (ie. to outline causes for concern, improved attendance or good attendance).
- Coordinates participants and attends attendance review meetings.
- Provides education on the Attendance Management Program including sick leave policies and procedures and applicable collective agreement interpretation.
- Sick Leave Claims and other Leaves
- Collects, analyzes and adjudicates sick leave claims in coordination with the respective department manager. Requests more information and/or supporting documentation as needed.
- Processes approved sick leave claims. Completes required changes within the scheduling and/or payroll systems to ensure accurate payments and deductions (ie. sick leave bank deductions)
- Monitors sick claims and other leaves and reports on status. Maintains databases of employees on sick and other leave (Compassionate Leave, Maternity/Parental, etc.).
- Reports on sick claims, other leaves and their organizational impact (ie. Overtime).
Enhanced Disability Management Program (EDMP), WorkSafeBC (WCB), and Long Term Disability (LTD)
- Monitors and reports on the Absence Notification for Illness Injury (ANII) system.
- Coordinates claims involving Enhanced Disability Management Program (EDMP), WorkSafeBC (WCB), and Long Term Disability and advises Managers and other stakeholders of changes.
- Maintains databases of employees on EDMP, WCB and LTD and provides status reports.
- Refers employees to EDMP and/or WCB. Collects information and completes applicable referral forms, including Employer's Report of Injury or Occupational Disease (Form 7) to WCB.
- Coordinates payments related to WCB and LTD with Payroll to ensure accurate payments to employees and reimbursements to the organisation.
- Contacts employees in a timely manner to complete wellness checks and return to work interviews.
- Coordinates Graduated Return to Work (GRTW) plans.
- Processes Long Term Disability applications by providing information to the employee, requesting and obtaining information from Finance, completing required documentation and forwarding to the Long Term Disability carrier.
Wellness Promotion
- Creates, supports and implements wellness initiatives including but not limited to on and off-site activities and events, wellness education, health and wellness information, and regular/seasonal health and wellness promotional campaigns.
Employee Engagement
- Promotes and supports employee engagement initiatives including on and off-site activities and events and other campaigns intended to motivate and increase employee morale, interest and involvement in the workplace as well as increase staff satisfaction.
- Coordinates staff recognition events (ie. CHAI Honours Recognition Tree, Long Service Recognition, Recognition Awards, etc.)
- Organizes social events including monthly initiatives (ie. birthdays, “Louis Brier LIFE Day”, etc.)
- Implements, monitors and reports on various employee feedback processes (ie. suggestion boxes, “Coffee with HR”, satisfaction surveys, etc.)
- Suggests and coordinates other employee engagement initiatives (ie. Louis Brier Online Store, Monthly Food Truck Calendar, etc.)
- Monitors related expenditures and reconciles the HR Department Credit Card monthly
Other HR Duties
- Coordinates recruitment processes as needed by posting vacancies as directed, confirms information such as status and shift schedules, produces posting, and obtains authorizing signature. Arranges advertising for external recruitment, screens internal and external applicants, sets up interviews, administers applicant testing, conducts reference checks, verifies credentials, educational qualifications and license requirements, and prepares offer letters and supporting documentation for successful applicants; distributing as appropriate.
- Maintains applicable databases. Analyses HR data and reports back on trends, performance/quality indicators while suggesting potential causes and possible solutions.
- Conducts Human Resources employee orientation and schedules orientations as needed.
- Prepares and processes a variety of personnel change forms such as new hires, terminations, leaves of absence etc. as needed.
- Administers Employee Performance Management systems as needed by adding new employees, updating information, troubleshooting problems, creating and updating training material and running reports.
- Takes minutes during meetings including Committee and Labour Management meeting. Distributes as appropriate.
- Initiates, composes and edits correspondence regarding matters of a sensitive and confidential nature such as employee discipline, professional responsibility, payroll issues, attendance/absenteeism and leaves of absence. Ensures appropriate follow up.
- Provides administrative support to the Occupational Health & Safety (OH&S) committee and assists with the implementation of policies, procedures and new initiatives generated by the committee.
- Assists Manager(s) with Essential Services planning and maintaining information regarding plans and service levels as needed.
- Ensures safety of residents while performing duties and reports any adverse events to a supervisor immediately.
- Performs other duties as assigned.
Qualifications
Diploma or certificate in Human Resources Management or Diploma/Certificate in Office Administration plus three (3) to five (5) years recent, related experience in a healthcare environment or an equivalent combination of training, education and experience
Knowledge, Skills And Abilities
- Knowledge of Human Resources principles and practices.
- Knowledge of administrative policies, procedures and processes.
- Ability to communicate effectively both verbally and in writing with people at all levels of the organization.
- Demonstrated analytical, problem solving and decision-making skills.
- Ability to work independently and effectively under time pressure to meet deadlines, balance work priorities and resolve problems in a timely manner.
- Ability to exercise considerable judgment, tact and discretion in preparing, disclosing and handling information of a confidential or sensitive nature including personnel information.
- Intermediate to advanced skills using a variety of computerized software packages including Microsoft Office Suite.
- Results orientation; takes initiative and assumes ownership of work.
- Commitment to continuous learning, especially of HR trends, new technology and software.

Work Schedule: Monday - Friday 8:30 am to 4:30 pm
