Studio Hrs: 5 days per week
Ste. Marie Studio is actively seeking a driven and detail-oriented individual to join us as our People & Culture (HR) Coordinator. Job Purpose
As the People & Culture Coordinator at Ste.Marie, you serve as the cornerstone of our design studio’s, orchestrating the seamless coordination, communication, and administration of our HR systems, processes, and initiatives.
In your role as People & Culture (HR) Coordinator, you are the vital link supporting our Principal & CEO and cross-functional leaders in executing essential People & Culture functions across our Studios, located in Vancouver & Toronto. Whether it's overseeing recruitment, facilitating smooth onboarding and offboarding processes, nurturing employee experience and engagement, providing Benefits support, or ensuring Compliance, your contributions are instrumental in fostering a vibrant and thriving workplace environment.

Duties and Responsibilities
- Recruitment Coordination:
- Responsible for assisting Hiring Managers in the recruitment process by posting job openings on various platforms, scheduling interviews, conducting reference calls and communicating with candidates.
- Assist with resume screening, candidate pre-screening, and coordinating interview logistics.
- Help maintain the ATS in BambooHR and ensure candidate information is accurately recorded and updated.
- Onboarding and Offboarding:
- Meets with the Hiring Manager prior to Onboarding to set up a game plan for execution.
- Responsible for coordinating all new hire onboarding activities as outlined in the Team Onboarding Checklist, including preparing new hire paperwork, coordinating orientation and info sessions, and facilitating the completion of required forms.
- Support the offboarding process by collecting company property, conducting exit interviews, final vacation calculation & reporting and processing termination paperwork.
- Employee Experience and Engagement:
- Serve as a point of contact for employee inquiries and provide assistance with HR-related matters such as Benefits and Payroll
- Administers annual Engagement Surveys and assists Principals with communications and action plans that elevate the employee experience
- Assist with employee engagement initiatives, events, and activities to promote a positive work culture.
- Maintain confidentiality and professionalism in handling sensitive employee information and issues.
- Communication and Administrative Support:
- Manage HR documentation, such as filing, data entry, and maintaining employee records, drafting employment contracts, offer letters, and personnel files, ensuring accuracy and compliance with company policies and regulations.
- Prepare HR-related correspondence, such as employment verifications, acknowledgment letters, and termination notices.
- Assists the leadership team by providing timely communications on the Performance Review cycle, sends quarterly check in calendar reminders, and supports the coordination of year-end evaluations
- Coordinates ongoing Training Modules, track & update HR software)
- Benefits Administration Support:
- Assist with benefits enrollment, changes, and terminations, ensuring timely and accurate processing.
- Help answer employee questions regarding benefits eligibility, coverage, and enrollment procedures.
- Coordinate benefits-related communications and materials for employees.
- Compliance and Reporting:
- Assist with HR compliance efforts by ensuring adherence to federal and employment laws and regulations.
- Support HR reporting activities by gathering data, preparing monthly HR metrics, and conducting data analysis as needed.
- Coordinate & update HR policies and procedures as required
- Coordinate training related to compliance documents
Qualifications
- Bachelor's degree in Human Resources, Business Administration, or related field preferred.
- 1-2 yrs experience as an HR Coordinator or Assistant is a plus.
- Knowledge of HR practices, policies, and procedures.
- Strong organizational skills and attention to detail.
- Excellent communication and interpersonal skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and HRIS systems such as BambooHR
- Ability to maintain confidentiality and handle sensitive information with discretion.
- Demonstrated knowledge of provincial and federal labour laws, and HR best practices
- Exceptional ability to make sound judgments and solve problems
